Real decisions rarely live in a single tidy document. They accumulate: a voice memo with doubts, a photo of a whiteboard, a note after a call, a final short message—‘going with option B.’ Recovering the decision later means reassembling that trail, not finding one perfect note.

Start from meaning, not from filing memory

You will not remember which note holds the answer, and you do not need to. Ask the question the way you think it: ‘what did we decide about the kitchen renovation budget?’ Semantic search surfaces candidates even when your words do not match the notes.

A transcribed voice memo may have misheard a number. A summary may have flattened a nuance. Before acting on a recovered decision—especially one involving money, people, or dates—open the original media and confirm the key detail.

Save the reconstruction

After twenty minutes of detective work, write the conclusion down as a new note: what was decided, when, and which notes prove it. The next time this question comes up, the answer will be one search away instead of an investigation.

A worked example: the contractor question

Suppose the question is why you hired the more expensive contractor. The trail is four items spread over five weeks, none of which contains the whole answer.

The first pass, asking ‘what did we decide about the kitchen contractor’, returns a photo of two quotes taken in March, a voice memo from the same week where you sound unconvinced, and a one-line note in April reading ‘going with Kowalski’. Nothing states a reason.

The second pass is chronological. Ordering them shows the voice memo came after the photo—so the doubts were about the cheaper quote, not the expensive one. The third pass is verification: replaying ninety seconds of that memo surfaces the actual reason, spoken aloud and never typed anywhere, that the cheaper contractor could not start before September.

That is the general shape. Search finds fragments, chronology assigns them meaning, and the source layer holds the sentence that no summary preserved.

When the trail does not exist

Sometimes reconstruction fails, and recognizing that early saves an hour. The clearest sign is a search that returns the outcome but nothing from the period before it: you find ‘going with Kowalski’ and nothing from the preceding two weeks, which usually means the reasoning was never captured.

No retrieval system can repair that. The decision happened in a conversation, and the conversation left no trace. Write down your current best account, label it as a reconstruction, and add today's date. An honest ‘as far as I can tell in August, the reason was the start date’ is more useful than a confident guess that later becomes the official history.

The other failure mode is subtler: you find a clear reason and act on it, without noticing a later note that revised it. This is why chronology comes before conclusions. The most relevant note and the most recent note are frequently different notes, and only one of them describes the current state.
