Privacy Policy
Reloggly ("Reloggly", "we", "us") is a personal memory application that turns your notes, voice recordings, photos, and files into searchable, AI-organized context. Because the service exists to hold personal material, we treat privacy as a core product requirement. This policy explains what we collect, how it is processed — including by AI — and the choices you have. It applies to the Reloggly mobile and web applications and to our website at reloggly.com. The service is operated by a sole proprietor established in the Republic of Cyprus (European Union), who acts as the data controller, and personal data is processed in accordance with the EU General Data Protection Regulation (GDPR).
1. Data we collect
Account data
Email address, first and last name, and a password. Passwords are stored only as salted hashes — we never store or see your plain-text password.
Content you add
Text notes, voice recordings, photos and other images, files, tasks, and messages you exchange with the AI assistant. This content may include any personal information you choose to put in it, and it is the most sensitive data we hold.
Derived data
To make your content searchable and useful, we generate data from it: transcripts of voice recordings, summaries, tags, extracted tasks, profile facts (short statements the AI derives about your context, such as projects or goals you mention), reports, and vector embeddings (numeric representations of your content used for semantic search).
Technical data
IP address, device and browser information (user agent), app language and platform, timestamps, and server logs needed for security, rate limiting, and troubleshooting.
Website data
If you join the waitlist on reloggly.com, we store your email address, preferred language, platform, referral source, and user agent. The website uses Google Analytics — only with your consent, collected through our cookie consent tool — to understand aggregate traffic. Fonts on the website are served by Google Fonts, which involves your browser sending its IP address to Google.
2. How we use your data
- Providing the service — storing your content, transcribing voice notes, organizing and retrieving your notes, and answering your questions in chat (performance of a contract, GDPR Art. 6(1)(b)).
- Transactional email — verification codes, password reset codes, and important service notices (performance of a contract).
- Security and reliability — abuse prevention, rate limiting, and diagnostic logging (legitimate interest, GDPR Art. 6(1)(f)).
- Service improvement — aggregate, de-identified usage statistics (legitimate interest).
- Website analytics — only with your consent (GDPR Art. 6(1)(a)).
We do not sell your personal data, we do not show advertising, and we do not use your content to train AI models — ours or anyone else's.
3. AI processing of your content
Reloggly is an AI product. To provide its core features, your content — including text notes, voice recordings, images, files, and chat messages — is transmitted to Google LLC and processed by the Google Gemini API on our behalf:
- voice recordings are transcribed into text;
- images and files are analyzed so they can be described and searched;
- notes and chat messages are processed to generate answers, tags, summaries, tasks, and profile facts;
- embeddings are computed to power semantic search.
Google acts as our data processor for this purpose. Under the Gemini API terms that apply to our use of the service, Google does not use content submitted through the API to train its models. AI output can be inaccurate or incomplete — treat it as assistance, not as fact or professional advice.
Before the app first sends your content to Google Gemini, it displays a clear disclosure describing the data involved and asks for your explicit permission. If you do not agree, Reloggly does not send your content to Gemini and AI-dependent features remain unavailable. Your consent is recorded with the version and date of the disclosure so that we can ask again if these practices materially change.
4. Service providers
We share personal data only with providers that help us run the service:

Beyond these providers, we disclose personal data only if required by law or valid legal process, or in connection with a merger or acquisition — in which case we will notify you before your data becomes subject to a different privacy policy.
We require service providers that process personal data for Reloggly to provide the same or equivalent protection described in this policy and to process the data only for the contracted service.
5. International data transfers
We are established in the Republic of Cyprus (European Union). Our providers may process data outside the European Economic Area, including in the United States (for example, when content is processed by the Google Gemini API). Such transfers rely on appropriate safeguards under Chapter V of the GDPR, such as the EU–US Data Privacy Framework, the EU Standard Contractual Clauses, or an applicable adequacy decision.
6. Data retention
- Account data and content — kept while your account is active. When you delete your account, your data is removed from production systems immediately, and residual copies in encrypted backups are purged on their normal rotation, within 30 days.
- Derived data (transcripts, embeddings, profile facts) — deleted together with the content it was derived from.
- Server logs — kept for up to 90 days.
- Waitlist emails — kept until launch communications are complete, or until you ask us to remove your address.
7. Security
All data is encrypted in transit (TLS). Passwords are stored as salted hashes. Access to production systems is restricted, and your content is isolated per account. No method of transmission or storage is completely secure, but we work to protect your data with industry-standard measures and will notify you of any breach as required by law.
8. Your rights
Depending on where you live (including under the GDPR and the CCPA), you have the right to:
- access the personal data we hold about you and receive a copy of it (portability);
- correct inaccurate data;
- delete your data ("right to be forgotten");
- restrict or object to certain processing;
- withdraw consent at any time, where processing is based on consent;
- lodge a complaint with a data protection authority — either your local one or our lead supervisory authority, the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus (dataprotection.gov.cy).
To exercise any of these rights, email us at support@reloggly.com from the address associated with your account. We respond within 30 days. We never discriminate against you for exercising your rights.
9. Deleting your account
You can delete your account and all associated data — content, media files, derived data, and account information — directly in the app (Settings → Delete account), or by emailing support@reloggly.com from your account email address. Deletion follows the retention schedule in Section 6.
10. Children
Reloggly is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us personal data, contact us and we will delete it.
11. Changes to this policy
We may update this policy as the service evolves. We will post the updated version on this page with a new effective date and, for material changes, notify you in the app or by email before the changes take effect.
